How this is calculated

Catering scales with headcount — per-person spend multiplied by your guest count — while the rest are flat line items you set yourself. The total is the sum; cost per head is total divided by guests. Every figure here is your number to edit, not a benchmark we're claiming. The defaults are just a starting point to overwrite.
